Visor connects to apps like Jira, Asana, and Salesforce. Once you import your data, you can manage these connections.
In this article, we cover how to:
-
Access Connection Settings
-
Choose default sync & import settings
-
Input JQL for Jira or SOQL for Salesforce
-
Add or remove connected fields
- Remove a connection, refresh fields & other advanced settings
How to Access Connection Settings
The Connections tab in the toolbar (see below) can help you do a lot with the apps you connect Visor with; this includes managing fields that have imported data, diagnosing sync errors, keeping track of your sync credits, and so much more.
Action Items
Once you click the "Connections Tab," you will see "Action Items."
The Action tab provides a high-level overview of each active connection in your workbook as well as tips for ensuring your connection remains healthy and your data remains accurate, including:
- What cells have errors
- What cells need a sync
- Date of your last sync
Sync & Import: How to Set Default Sync Options & More
The Sync & Import tab is home to your saved default sync options. This area also allows you to refresh your data quickly, set your syncing preferences, and see when your data was last imported.
Refresh Data With Syncing & Importing
If you have a one-way sync, Visor will only import data. If you have a two-way sync, you can also push out changes. Even if you have a two-way sync, there is an "Import" option in the "Sync & Import" area of your Connections tab, which allows you to only import data.
Choose Set Default Sync Options
The "Show default sync options" button in the "Configuration" area allows you to choose a one-way or a two-way sync as your workbook's default. See below.
See What Data You Can Sync
To the left of the "default sync" button (and above the right arrow in the screenshot above), you will see "Sync Issues with (App)."
Here, you will see what cells or Issues have updates you can push out or import.
Customize Settings for Your Import
To run a custom or one-off import, click "Preview and Import." You'll then see a preview of what Visor would import. From there, you can customize the filters for a one-off import.
Choose Structure Issue Data
When you import your data, you can choose to maintain or ignore the nesting (e.g., hierarchies) you have in the native app you're connecting to Visor. Here, you can adjust these settings as you'd like.
Blue Banner with Sync Info:
At the top of your Sync & Import Area, you will see when someone on your team ran the most recent sync or import and who ran it. Clicking on the blue banner will bring you to the Activity tab, where you can find more information about completed and in-progress operations.
How to Use JQL or SOQL
While Visor offers a simple importer that allows you to import one Jira project at a time, we also offer JQL (for Jira) and SOQL (for Salesforce) that allow you to import multiple Jira projects or adjust your Salesforce importing.
Note: For Asana, you can import multiple projects without a particular query language.
Watch the short 20-second video about how to input the query you'd like in the Sync & Import section of your Connection Management.
How to Add or Remove Connected Fields
Next to the "Sync & Import" tab, you will find the "Fields" section.
In this area, you can add or remove fields. In addition, you can set their visibility and see how many sync credits are used for each field.
Adding or Removing Fields
If you'd like to add or remove connected fields from your sheet, you can do so from the Fields tab of the Connection Management window. Select "Add or Remove Connected Fields." You can then check new fields to add or uncheck fields you'd like to remove from the list.
Use the search bar to find the fields you are looking for quickly. Newly created fields in connected apps are not automatically added to Visor when you sync your data, so if you don't see the field you're looking for, try refreshing your fields (this option is in the Advanced Settings tab).
When you finish adding or removing your fields, select "Save." Visor will immediately start making your changes to your workbook.
Visibility
This tab also shows you the visibility selected for each field in your workbook. If you know you've added a field to your sheet but you cannot find it, opening the Field tab of the Connection Management window will tell you if the field you are looking for has been hidden.
Field Utilization
The field utilization column allows you to reduce the number of sync credits used with each sync by seeing where your connected data exists in your workbook and how many sync credits Visor uses to sync these fields.
If you'd like to remove data from your workbook that is no longer being used or if you want to reduce the number of sync credits used with each sync, you can quickly find that information by looking at field utilization.
Health
After syncing your data, you may notice the occasional red indicator in the top left corner of some of your cells and a red number next to the Connections tab in the toolbar. These indicators are Visor's way of letting you know it experienced a sync error.
You may experience sync errors for a few reasons, but one very common reason is extra spaces in a name field. For example, the value in a Visor first name field may be "Jane," but when synced with Salesforce, Salesforce may accept the value as "Jane" (without the extra space at the end). Visor notices the difference between these two values and allows you to confirm the change saved in the connected app.
Open the Health tab in the Connection Management window to quickly review and resolve each sync error. Visor will group like errors together and explain the error for each group. By clicking "Show details," Visor will show you all the records affected by that sync issue.
You can also click directly on a field with a red indicator for more information on that single cell from any view.
Activity
The Activity tab provides a status report of all the recent operations related to the connection and its integration. For example, if you share responsibility for a workbook with a colleague, the Activity tab can help you catch up on where things last left off. You will find answers to questions like, "When was the last sync, and who ran it?" or, "How many items Visor imported during the last import, and was it successful?"
This tab documents progress live and in real-time. Even if another colleague begins an operation while this tab is open in your browser, the operation will display on your screen without needing to refresh your page. You can filter the information found on the Activity tab by type of activity, how it started, or status. You can also see how many sync credits each operation used.
If you click on "Show Details," Visor will provide more information about that operation, such as when it started, how long it took, and who started it. You will also find an operation ID, which can be helpful when corresponding with Visor customer support. The information found under "Show Details" will also contain any health notifications associated with that operation, which can help you understand why the sync experienced any errors. Clicking on an error will bring you to the Health tab, where you can highlight the item for your review.
Advanced Settings
In this section, you can remove a connection, refresh fields, reauthorize Visor's access to your app and view technical details.
Connection Management
he options found under the Connection Management heading pertain only to this connection in this workbook (and this workbook only). They do not relate to other connections or connections outside of this workbook.
For example, if your workbook had two Salesforce connections, the options under Connection Management would only pertain to the Salesforce connection highlighted in the leftmost section of the Connection Management window.
Removing the connection would delete the connection field and all of its connected fields.
If you select the connection (or any of its connection fields) as the primary label, this option may be disabled. If that is the case, you'd have to set up a field unrelated to the connection and designate that field as the primary label first; then, you'll be able to delete the connection field (or any of its connection fields) from your workbook.
Integration Management
The options found under the Integration Management heading will pertain to all of the connections related to that connected app for all workbooks in this workspace. This section provides a handy way to refresh fields, reauthorize Visor’s access to your connected app, and understand more technical details related to your integration with Visor. For more information about each, read on:
Refresh Fields:
If you’d like to bring in the newest field options or drop-down choices from your connected app to Visor, you will need to refresh the fields. This is particularly helpful when working with a workbook that contains Jira fields like Component or Release since it’s not uncommon for these fields to have new choices available every so often. Refreshing fields is how you let Visor know about those newly added choices and how they are loaded into your workbook.
Reauthorize Visor’s Access:
On rare occasions, you may need to reauthorize Visor’s access to your connected app. For example, changing your Jira password may temporarily deactivate the integrations you’ve set up. Reauthorizing Visor’s access to your Jira instance will fix this problem.
Another scenario where you may need to reauthorize Visor’s access is when a non-admin user (of the connected app) initially set up the Visor account workspace and completed the initial integration with the connected app. Visor’s permissions in your connected app reflect those of the authorizing user for that specific connection. In other words, if a person who is not an admin of the connected app created your Visor workspace, this may result in limited abilities between Visor and the connected app.
Therefore, you may need to ask your connected app's admin to log in to Visor (using their own account) and reauthorize Visor's access to ensure that Visor can execute the full range of actions. Afterward, anyone in that Visor workspace will have the same permissions as whoever reauthorized.
Technical Details
The information found here is helpful for understanding technical details about the integration and may be helpful if you ever troubleshoot with Visor support. You may be able to see information about which instance Visor has connected to if that user has admin access and other summary information about the integration itself.
