How Conditional Formatting Works in Visor
When sharing project plans in Visor, adding color will make them easier to understand. That's why we allow you to select the exact HEX colors you want, choose from color presets, or use an "Auto Format" option.
Fields you can format:
- Connected fields (e.g., imported Jira fields like "Assignee" or "Status")
- Custom fields made in Visor (e.g., dropdown, number, text, date)
How Formatting Connects to Other Views:
The Conditional Formatting you apply in one Custom View will apply to all other Views within the same folder. Example: a Gantt View will have the same formatting as the Table View in the same folder.
If there is more than one folder in a workbook, you'll need to format the data in each folder separately.
Where to Access Conditional Formatting
Visor gives you 3 options when applying Conditional Formatting:
- Choose exact HEX colors
- Select color presets
- Use our "Auto format" feature
Where to Select HEX Colors or Color Presets:
This section covers how to select the exact HEX colors or color presets you want.
3 ways to select color formatting for your fields:
- First, click the paint palette icon in the toolbar. By clicking the paint roller icon, the formatting menu will display all possible fields to be formatted. From there, you can choose from our presets or click "Text" or "Background" to select your HEX colors or color presets.
- The second way to access conditional formatting is to click on the field name in the header row and click "Manage Field Choices and Colors." By clicking on the field's header row, the formatting menu will automatically open the formatting options for that specific field.
- The third way to format your fields is to click directly in a cell with a choice you'd like to format and select "Manage Field Choices and Colors."
How to Auto Format in One Click
If you want us to choose your formatting for you, you'll see an "Auto format" button at the bottom right of the screen that pops up when you access the formatting area.
You can get to the screen that has this Auto format button by:
- Clicking the color palette icon in the toolbar area (as in the GIF below)
- Clicking on the field's header row or on a cell. Then select "Manage Field Choices and Colors"
Ways to Format Text and Background Colors
There are a few different ways you can format text and background colors.
Adding Color:
Access the Formatting section (see above section for how). Then, select "Format" for the Field you'd like to format. You'll then be able to choose the "Background" and "Text" options.
From there, you can:
- Add color presets or exact HEX selections to your backgrounds
- Add color presets or exact HEX selections to your text
Additional Font Formatting:
Text can also be formatted using bold, italics, underline, and strikethrough.
Formatting Empty Cells & Gantt Views
Format Empty Cells:
Sometimes, it might be helpful for you to see which records do not have any choices in a given field. In order to make these cells more visible, you can format empty cells in the same way you'd format other drop-down field choices.
Formatting the Gantt View:
On the Gantt View, you are able to apply formatting to some fields on the grid like assignees or other custom field. The formatting applied to the bars and milestones in the "Display As" will apply to the Gantt bars as well.
How to Reorder or Add Selections and Clear Formatting:
Reorder Dropdown Selections:
In the formatting menu, use the grippers on the left side of each choice to reorder the items in a drop-down. This will change the order of the choices in the dropdown field of your workbook.
Add New Dropdown Choices:
Adding additional dropdown choices for Visor fields is easy. Simply open the formatting menu and click "Manage Field" for the field you'd like to add a new choice to. Then, select "Add Another Choice" and click "Save."
Clear All Formatting:
Lastly, if you want your workbook to become a blank canvas, you simply have to hit "Clear Formatting", which can be found in the bottom left of the screen that pops up when you select "Formatting" in the menu.

On 3/14/24, we deprecated functionality related to toggling grid formatting on and off. From now on, any formatting that you configure on for your field choices will appear on any table-style views you have.
